Privacy Policy

SolarERP is a business software platform for solar companies, operated by Narayana Global Ventures Pvt. Ltd., India ("SolarERP", "we", "us"). This policy explains what information we collect and how we use it across:

• this website, solarerp.in;
• the SolarERP web application that each company uses at its own address (for example company.solarerp.in);
• the SolarERP staff app (Android, package in.solarerp.app); and
• the SolarERP Dialer app (Android, package in.solarerp.dialer).

1. Who is responsible for your data

Companies ("our customers") use SolarERP to run their business: their leads, customers, projects, employees and calls. For that business data, the company is the data fiduciary (controller) and decides what is collected and why; SolarERP processes it on the company's behalf and only to provide the service. If you are a lead, customer or employee of a company that uses SolarERP, please contact that company first about your data. For information about visitors to this website and about our customers' account holders, SolarERP is the data fiduciary.

2. Information we collect

• Website visitors: what you send us through contact or demo forms (name, phone, email, company, message) and usage data collected by cookies and Google Analytics / Google Tag Manager (pages visited, device and browser, approximate location from IP address).
• Account holders: name, email, phone number, role and sign-in records (time, IP address, device) of the people a company gives access to SolarERP.
• Business data: the records a company enters or imports into SolarERP, such as leads, customers, projects, documents, invoices, tasks and employee records.

3. The SolarERP staff app

The staff app asks for a permission only when the feature that needs it is used, and only if the company has switched that feature on:

• Location: to record where an attendance check-in happens and, only while the employee has turned it on, to share live location with their company during work.
• Camera and photos: to attach site photos, documents and an attendance selfie.
• Microphone: to record voice notes on a lead.
• Notifications: to show task, lead and follow-up alerts.

4. The SolarERP Dialer app

SolarERP Dialer helps a company's sales staff log their calls with leads. It works next to the phone's own dialler; it never replaces it and never records calls itself.

• Call log: the app reads the phone's call log on the device to find calls with phone numbers that belong to leads the signed-in user can see in their company's SolarERP. Only those calls are sent to the company's SolarERP: the number, date and time, direction (incoming, outgoing or missed), duration and SIM slot. Calls with any other number, including personal calls, never leave the phone. The server applies the same rule again and refuses any call that is not with a visible lead. Numbers the user marks "not a lead" stay excluded on the device.
• Phone state: to show which lead is calling while the phone rings and to know when a call has ended, so the app can ask the user to log it. The ringing number is checked against the company's leads; it is not stored unless the call belongs to a lead.
• Contacts: read on the device only, to show names and to avoid asking about numbers saved in the phone. Contacts are not uploaded.
• Call recordings: only if the user has turned on call recording in their phone's own dialler and chosen the folder where it saves recordings. The app then uploads the recordings of lead calls only to the company's private storage. A recording can be played only by the user who made the call and by the company's authorised managers who can already see that lead. Recordings of other calls are never read or uploaded.
• Notifications: to show caller ID for a lead and a reminder to log a call.
• Sign-in: with the user's SolarERP account; if the SolarERP staff app is on the same phone, the user can sign in through it after confirming, without their password being shared between apps.

What the user writes about a call (outcome, notes, next follow-up) is saved to the lead in the company's SolarERP.

5. How we use information

• to provide, secure and support SolarERP and its apps;
• to sign users in, prevent misuse and keep records of sign-ins;
• to send service messages such as one-time passwords and alerts the company has set up;
• to understand and improve how the website and product are used (website analytics only).

We do not sell personal data, and we do not use data from the apps or from companies' business records for advertising.

6. Sharing

We share information only with service providers that help us run SolarERP, under contract and only for that purpose: cloud hosting in India (E2E Networks Ltd.), file storage (Cloudflare R2, where a company has it enabled), SMS, WhatsApp and email delivery providers a company uses (for example MSG91 and Interakt), and AI providers for the optional Ask Solar assistant (Google Gemini, OpenAI) when a company turns it on. We may disclose information when required by law. A company's data is shared with the people that company gives access to.

7. Storage and security

Each company's data is kept in its own database on servers in India. Connections are encrypted (HTTPS). Documents, photos and call recordings are kept in private storage and are served only to signed-in users with permission to see them. Access inside a company is controlled by roles and permissions set by that company.

8. Retention and deletion

Business data, including call logs and recordings, is kept while the company's account is active, or until the company deletes it. When a company closes its account, its data is deleted after the notice period in its agreement. Website enquiries are kept as long as needed to respond and follow up. You can ask us to delete your SolarERP account at solarerp.in/account-deletion.

9. Your rights

Under the Digital Personal Data Protection Act, 2023 you may ask to access, correct or erase your personal data, withdraw consent, and raise a grievance. For data a company holds about you in SolarERP, contact that company; we will help them respond. For anything else, write to us.

10. Children

SolarERP and its apps are business tools and are not meant for anyone under 18.

11. Changes

We will update this page when our practices change and show the date of the last update at the top.
